Exam Invigilation Policy
1. Purpose
The purpose of this policy is to ensure the fair and secure administration of exams at UK Learning Hub. Exam invigilation is crucial for maintaining the integrity of the examination process, preventing academic misconduct, and ensuring a level playing field for all candidates.
2. Invigilator Selection and Training
2.1. Selection Criteria: Invigilators shall be selected based on their impartiality, integrity, and understanding of the examination process. They should not have any personal or professional relationship with the candidates being examined.
2.2. Training: All invigilators will undergo comprehensive training to familiarize themselves with the examination policies and procedures, including identifying and addressing instances of academic misconduct.
3. Examination Environment
3.1. Secure Environment: Examinations will be conducted in a secure environment to prevent unauthorized access. All unnecessary materials will be removed from the examination area.
3.2. Technology Usage: The use of electronic devices, including but not limited to smartphones, tablets, and smartwatches, will be strictly prohibited unless explicitly permitted in the examination instructions.
3.3. Identification: Candidates must provide valid photo identification before entering the examination venue. Invigilators will verify and record this information.
4. Conduct During Examinations
4.1. Communication: Candidates are not allowed to communicate with each other during the examination. Any form of communication, verbal or non-verbal, is considered a breach of exam regulations.
4.2. Prohibited Items: Candidates are not allowed to bring any unauthorized materials into the examination venue. This includes but is not limited to notes, books, and electronic devices.
4.3. Breaks: Scheduled breaks, if any, will be strictly monitored. Candidates must adhere to the specified break durations, and no communication or access to unauthorized materials will be permitted during breaks.
5. Monitoring and Surveillance
5.1. Surveillance Cameras: The examination venue will be equipped with surveillance cameras to monitor the examination process. Recordings may be reviewed in case of suspected misconduct.
5.2. Walkthroughs: Invigilators will conduct walkthroughs during the examination to visually monitor candidate behaviour and ensure compliance with exam regulations.
6. Reporting and Investigation
6.1. Incident Reporting: Invigilators shall promptly report any suspected violations of exam regulations to the examination coordinator.
6.2. Investigation: Reported incidents will be thoroughly investigated, and appropriate action will be taken based on the severity of the violation.
7. Candidate Information and Privacy
7.1. Confidentiality: All candidate information, including examination performance and personal details, will be treated with utmost confidentiality.
7.2. Data Security: Measures will be in place to secure and protect candidate data, ensuring compliance with relevant data protection laws.
8. Review and Updates
This policy will be reviewed regularly to ensure its effectiveness and relevance. Any necessary updates will be made in consultation with relevant stakeholders.
9. Compliance
Candidates are expected to comply with this policy, and any violation may result in consequences, including but not limited to disqualification from the examination and academic penalties.
This policy is effective as of 15/12/2023 and supersedes any previous exam invigilation policies.
